From Classrooms to Cloud: A Journey of a school's Digital Transformation in PandemicCHAPTER 1: Context & Constraints When the COVID-19 pandemic hit and schools across the country shut down, our school—a non-profit institution based in a small Tier 4 town—was no exception. Classes came to a standstill.

Student Record Management & Retrieval
All the information needed about students in one place.

Building student database system which eased the management and administrators to get an overview and in depth information of all the students who have studied. The database has been organised in a way that it has critically minimized the efforts needed by office staff for generating various reports when requested by District Education Office (DEO) or CBSE. Through this system, the administrator can generate entire student report in a single click.

Built proficiency in creating complex formulas and functions for data analysis.
Expertise in using Google Apps Script to automate tasks, trigger mails, create custom functions, and integrate Google Sheets with other applications.
Skilled in setting up and managing data collection forms, including linked Google Forms for streamlined data input and analysis.

Digital classroom setup

Setting up and handling Google Workspace for education for the entire institution. Handling all the admin operations. Training staff, students and parents with the tools and gradually decentralising some admin functions to staff. Defining the document templates, name conventions for setting up the Google classrooms.

Annual migration of 100+ digital classrooms each session with a tracking, onboarding and monitoring processes in place for existing and new students, staff and parents

School Website and Intranet

Built and maintain both, the public website and intranet for Vidyakunj International, handling every aspect from domain management to site development. This includes integrating Google Sites with Google Workspace tools to improve data accessibility and functionality for students, administrators, and staff.

I’ve also set up Google Analytics for detailed user insights, optimized SEO to enhance search visibility, and continuously track performance through Google Search Console, ensuring the site’s effectiveness and reach are maximized.

Student performance report automation

Reduced efforts spent by staff in grading, processing and generating result sheets. The result generator only requires respective subject teachers to enter raw marks scored by students and the result sheet is autogenerated and mailed to the parents. The result sheet not only provides the scores but also provides insights of students’ performance in different terms while highlighting their subjectwise performance.

Management Dashboard

Built dashboards for a comprehensive view for the management to view admissions, attritions, fee collection, expenses. The dashboard allows user to check and analyse daywise, monthly, yearly fee collection for each academic session

Mailing and communication

Developed an automated mailing system using Google Sheets and Google Apps Script to send account credentials to new students and staff efficiently.
Utilized Gmail’s advanced features to schedule and manage email campaigns, optimizing communication workflows.
Created professional and visually appealing email templates incorporating the school's branding elements.
Standardized communication templates to ensure uniformity and professionalism in all outgoing emails.
Organized and maintained a centralized repository of email templates and communication resources on Google Drive.

Visual Communication

Other than the operational work, my experience in visual communication supports me in creating engaging marketing and promotional materials including but not limited to school brochure, pamphlets and leaflets, social media graphics, promotional videos. Lately I've been experimenting with Meta Spark Studio to make custom filters for social media promotion
